How to manage market, festival and catering bookings (without spreadsheets)

A simple workflow for street food bookings: one calendar, organiser notes, deposits, and post-event actions so nothing gets missed.

If you’re juggling markets, festivals and private catering, the hardest part isn’t cooking - it’s context switching:

  • where you’re meant to be
  • what you agreed
  • what’s paid
  • what’s still outstanding

Here’s a simple workflow that keeps your head clear and your admin under control.

1) One calendar for everything

Put all event types in a single calendar:

  • markets and regular pitches
  • festivals and pop-ups
  • private catering
  • brand activations

This is how you prevent double-booking and last-minute panic.

2) Store the details with the booking

Keep the details next to the event - not in DMs, emails and random notes.

Capture:

  • organiser contact
  • pitch info + arrival time
  • setup requirements (power, gazebo, tables)
  • address + parking notes
  • menu notes (if private catering)

3) Track money simply (deposits + status)

Use a simple status flow so you always know what to chase:

unpaid → deposit paid → partially paid → paid

This is enough for most vendors to stay on top of cash flow without turning into an accountant.

4) Add a “post-event” checklist so admin doesn’t pile up

After a busy day, you need the same actions again and again:

  • mark completed
  • mark paid (if needed)
  • log key expenses (stock top-up, fuel, pitch fees)
  • generate invoice (if relevant)

The goal is to reduce “admin debt” after service.

5) A quick booking template (copy/paste)

If you’re setting up a booking, make sure you can answer:

  • Who is the organiser + best contact method?
  • Where is it and what are the access/parking notes?
  • When do you arrive and when do you serve?
  • Money: deposit amount, due date, remaining balance
  • Setup: power, gazebo rules, tables, water access
  • Notes: anything that can go wrong (and how you’ll handle it)
